Rental Policies

Reservations

Rentals are reserved once items, event date, and rental details are confirmed with Crafted Scene. Availability is not held until a reservation is finalized.

Payments

Payment terms, accepted methods, and the schedule for securing a reservation are provided with each quote.

Rental Period

The rental period is defined on your rental agreement and is based on your event date, delivery window, and pickup window.

Customer Pickup

Some items may be eligible for customer pickup. Vehicle size, handling, and transport protection requirements are confirmed in advance.

Delivery

Delivery availability and pricing depend on event location, rental size, travel distance, and venue access. The venue address is required to quote delivery.

Setup

Setup may be included or added depending on the piece and venue. Certain large or structural pieces require Crafted Scene setup.

Breakdown

Breakdown timing is coordinated with your venue's schedule and confirmed before the event date.

Late Returns

Items returned outside the agreed rental window may affect other reservations. Applicable terms are outlined in the rental agreement.

Refundable Security Hold

A refundable security hold is collected separately from your reservation payment and is released after the rental is returned and passes inspection. The hold amount is based on the replacement value and handling risk of each piece.

The refundable security hold does not limit the renter's responsibility for documented repair or replacement costs that exceed the amount of the hold.

Damaged Items

Customers are responsible for rented items while in their possession. Damage beyond normal use is assessed after return.

Missing Items

Items not returned are reviewed against the rental agreement and invoiced accordingly.

Weather

Outdoor events are weather dependent. Crafted Scene may adjust or decline outdoor installation when conditions could damage a piece or create a safety risk.

Outdoor Use

Some pieces are approved for outdoor use only with proper surfacing, anchoring, and shade or cover. Approval is confirmed per item.

Venue Access

Customers are responsible for confirming load-in access, elevator or door dimensions, parking, and delivery time windows with their venue.

Cancellations

Cancellation terms are provided in writing with your quote and rental agreement.

Rescheduling

Date changes are handled based on availability of the reserved items on the new date.

Custom Orders

Custom builds follow a separate design, approval, and production schedule. Timelines depend on scope, materials, and event date.

Rental Agreements

All rentals are subject to a written rental agreement that outlines items, dates, delivery, responsibilities, and payment terms.
